I am looking for an experienced administrator to join a busy Transport Office based in Portsmouth.

Your role would be Briefing and dispatching of drivers, including the preparation of all delivery documentation. The role involves working at the heart of the daily operation with direct contact with own drivers and subcontractors.
Part of a team of 2 people, you will develop a close working relationship with drivers, warehouse and traffic operators to deliver a proactive dispatch and vehicle tracking operation. The provision and recording of accurate and detailed information for use as direct instructions to drivers, and for retrospective audit trail and investigation.
Main Responsibilities:
• Direct contact with drivers ensuring accurate information is passed and understood at point of despatch and during journey to depot.
• Maintain and develop interaction with traffic department to promote on time availability for all resource.
• Check all load summary documents for accuracy and escalate any potential issues to the Operations Supervisor.
• Use the Isotrack satellite tracking system efficiently to update vehicle progress and highlight any delays.
• Compile regular late reports and send to the management team.
• Check Window 3 collections are running on time.
• Maintain contact with warehouse at all times to ensure ‘On Time’ dispatch is achieved.
• Collate delivery documents and make up load summaries for drivers, including the provision of driver sign up sheets and maps if required.
• Management of Enterprise screens for dispatch and recording of delivery times. Diminishing screen management – from un-dispatched through to delivered. All screens managed to zero on a daily basis. Ensure all loading alterations are changed in chainware.
• Maintain full compliance with ASN and OTM for Tesco.
• Challenge Tesco delivery times against FWC as required.
• Maintain communication with Tesco Primary to inform of late running vehicles and booking of special vehicles.
• Know the DOT performance requirements and despatch accordingly with this in mind.
• Prepare daily DOT reports and send to the relevant people.
• Maintain department files – electronic and paper. Organise archive rotation where required.

Core working hours, although flexibility is expected during peak periods such as Christmas, Mother’s Day and Valentines.
Your Performance would be measured on;
• DOT Service levels for all major retailers and specific customers
• Accuracy and timeliness of live despatch
• Delivery documentation accuracy at point of despatch.
• Driver feedback on quality of information given at point of despatch.
• Daily tasks through to completion
• Department presentation.
